As a landlord user, we will collect basic information from you to be a team member. This may however be entered by an administrator for your account (e.g. your IT consultant who set up your account). We also collect contact details including an address. In some cases, this will be a home address. These contact details will be visible to any tenants you add to your account where the also have access to Reoli, or where you send certain documents.
As a tenant, your data is likely to have been entered by your landlord when creating your tenancy. We may hold a range of data on you, including your name, previous addresses, contacts (next of kin or guarantors), and other. The data entered depends on your landlord.
Reoli itself does not collect data about tenants, except where supplied by the landlord.
We may request further information when you register to tailor our software to you.
We also collect information when you voluntarily complete customer surveys, provide feedback or contribute on our community forum. Website usage information is collected using cookies through third party services such as Google Analytics.
We use the data only for the purpose of displaying tenancy information and generating related documents. The visibility of the data is restricted to the landlord, and where linked, the tenant too. Information is not passed on to third parties not permitted by your landlord or by you.
We do however, where relevant, recommend checking with your landlord to ensure they are accessing and using your data correctly.
Our forums may also send you summaries and notifications that may be of interest to you. You can however opt out of these emails from within the forums themselves.
We will not pass your details outside of Reoli without your permission. However, should be need to (for example, where using a third party service via Reoli), you will be notified about this where it’s relevant before any action is taken.
We would like to send you information about updates to the development of Reoli. When you sign up, you be registered to our mailing list to ensure you are kept up to date in important changes, which can include legal changes. However, you can stop us from emailing you updates at any time. Each email we send to you will contain an unsubscribe link in the footer. You may need to confirm this before it’s actioned.
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email us at [email protected]. We may charge a small fee for this service.
We want to make sure your personal information is accurate and up to date. You may ask us to correct or remove information that you believe is inaccurate.
Where a landlord has entered your data, you should contact them in the first instance as they will be the holder of your information. Where you have access to a tenant dashboard, you will be able to submit changes to your details there.
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity to help us improve our service.
